A QR menu can make updates easier, offer language choices, and support detailed descriptions. It can also exclude guests with a dead battery, no compatible device, limited data, low vision, motor barriers, or a preference not to use a personal phone. Treat digital as an option, not the only door to ordering.
Keep a usable alternative
Offer a clean printed menu or an equivalent staff-supported option without making guests justify the request. Core prices and required notices should not be hidden behind a scan when they can reasonably be visible at the decision point.
The table card should name the action - “View the current menu” - and print the restaurant’s domain. Avoid vague “Scan me” copy.
Build a menu page, not a PDF obstacle
Responsive HTML usually adapts better than a large print PDF. Use semantic headings, real text, meaningful link labels, sufficient contrast, zoomable layouts, clear focus states, and large touch targets. Keep the first screen fast: do not force a newsletter dialog, location prompt, animation, or advertising interstitial before the menu.
If a PDF is also provided, make it accessible, clearly label the file type, and retain the HTML option.
Handle allergens carefully
Keep allergen and ingredient information current and visibly dated. Do not imply that a code or generic list replaces a conversation about cross-contact or an individual medical need. Train staff on the process and provide a direct way to ask questions.
Original table test
A restaurant places the same 35-millimeter code on matte table cards and glossy outdoor menus. Indoors it works; under patio sun the glossy version reflects across a finder pattern. The final outdoor card uses a larger code, matte stock, and a location outside the fold. Staff test it from seated positions before service.
Operations after launch
Use a stable owned URL. Assign a person to update prices, sold-out items, language versions, accessibility, and redirect behavior. Test during busy periods on the guest Wi-Fi and ordinary cellular service. A menu that loads only on the manager’s fast phone is not ready.
